The Staff Accountant is an entry-level position focused on transaction management, financial reporting and supporting team operations. You’ll be an essential part of our accounting team, providing accurate bookkeeping, payroll reporting, sales tax, and financial reporting services. The workload is expected to be 80% client bookkeeping and reconciliations, 5% payroll and compliance, 5% administrative support, and 10% training and process improvement.

1. Bookkeeping & Reconciliation

  • Transaction Management: Accurately record and classify daily financial transactions in QuickBooks (Online/Desktop), ensuring all necessary documentation is gathered and organized. Manage bank feed coding and reconciled ledgers for multiple clients, ensuring accuracy and consistency.
  • Account Reconciliations: Reconcile bank accounts and credit card statements monthly, promptly identifying and resolving discrepancies in a timely and professional manner.
  • Financial Reporting: Review and organize financial transactions, ensuring they are appropriately structured for senior staff to generate monthly financial statements and management reports for clients.

2. Payroll & Compliance Reporting

  • Payroll Processing: Post and verify payroll entries to ensure proper expense and liability recording.
  • Tax Reporting & Year-End Processing: Prepare and file quarterly payroll reports (Form 941, state filings) and assist with year-end W-2 processing.
  • 1099 & Sales Tax Filing Management: Manage annual 1099 reporting and ensure compliance with IRS filing deadlines, prepare and submit monthly, quarterly or annual sales tax returns on behalf of clients.

3. Communication & Documentation

  • Client Relations & Documentation Assistance: Communicate with clients regarding missing documents, coding questions, or account variances.
  • Communication & Client Engagement: Provide clear updates on progress and maintain professional written and verbal communication, demonstrating our core value of COMMITMENT to client service.

4. Team Collaboration

  • Senior Staff Collaboration & Project Support: Work closely with senior accountants and firm leadership to meet project deadlines and quality standards.
